Overview

We are seeking a detailed-oriented, highly organized Project Coordinator to support project management by providing a wide variety of administrative support for assigned project managers, projects and/or a department. This is a non-exempt, non-bargaining position and reports to the Division Manager.  It is based out of Redmond, Washington and is a fully in-office role. 


Responsibilities

As a Project Coordinator, you will assist Project Managers with various tasks involved in the overall operation of a project and/or group operations.

Responsibilities for this role include:

  • Assists with project kick-off including assisting with submittal preparation (gathering, logging, tracking, etc.) and setting up of electronic filing structure for projects.
  • Orders permits and, if required, picks up from appropriate jurisdiction.
  • Prepares subcontracts for Project Manager approval and finalization/issuance by the Contracts Manager.
  • Prepares purchase order requests for Project Manager approval.
  • Reviews and tracks open commitments.
  • Tracks and organizes timesheets, packing slips, work orders and other documentation required for month-end billings.
  • Assists the Project Manager with day-to-day administrative tasks including electronic filing, meeting coordination, note taking during project meetings, drafting of documentation, information distribution, research projects, action item follow-up, etc.
  • Maintains electronic and hardcopy file continuity; Ensures project file structure follows the company’s standard hardcopy and electronic filing system.
  • Assists with project closeout (on and off site) including creation of closeout documents, preparation of O&M’s, assistance with as-built creation/organization, collection of project summary sheet, jobsite clean-off, archiving, etc.
  • Provides support to Field Staff by drafting Request for Information (RFI) documentation, updating the RFI log, posting drawings, creation of panel schedules and other duties as assigned.


Qualifications

The Ideal candidate for this position will have an AA degree or 2-4 years of experience working in a support role within the construction industry. They will have proficiency in MS Office Suites including Outlook, Word and Excel. Familiarity with BlueBeam and knowledge of a union trade and/or electrical construction is a plus.

Success in this role requires the ability to effectively collaborate and navigate multiple tasks and projects concurrently, including the ability to prioritize tasks and manage multiple deadlines.

  • Ability to see, hear well (either naturally or with correction) and speak clearly.
  • Coordinate the movement of your eyes, hands, and fingers.
  • Physical requirements include sitting, standing and bending, repetitive motions of hands and wrists
  • Reach for, handle, use fingers and manipulate objects.
  • Sit for long periods of time.
  • Continuous computer screen use.
  • Must be capable of working extended hour days when job/business needs demands.
